Record Bottleneck Cost Calculator
Handoff drag, integration debt, and fragile automation show up as hours—then as dollars. Use this worksheet to size the record bottleneck tax your operators may already be paying.
Inputs
Adjust numbers to match your team. We use a transparent heuristic model (see methodology below)—not a substitute for a formal assessment.
Anyone who regularly looks up, reconciles, or re-types asset facts.
Fully loaded cost per hour (wage + benefits + overhead), or use a conservative average.
Honest estimate across those roles (meetings + async work that is “finding truth”).
Places asset truth can live (ERPs, CMMS, spreadsheets, drives, “shadow” apps).
Time spent fixing bad exports, reopening tickets, or redoing work caused by bad data.
Optional. Nudges rework cost up when corrections and QA load are high.
Outputs
The hidden cost of fragmented records—aligned with handoff drag, integration debt, and fragile automation.
- Annual wasted labor cost
- $587,059
- Cost of rework
- $69,414
- Latency cost (time-to-decision / coordination drag)
- $150,639
- Total “Record Bottleneck Tax”
- $807,112
Methodology (short)
- Wasted labor = employees × hourly rate × 2080 × (search % ÷ 100).
- Rework = rework hours/week × 52 × hourly × (1 + error rate ÷ 200).
- Latency = wasted labor × index (caps at 48%), where index rises with extra systems beyond two and with search/reconcile load—proxy for fragmentation slowing decisions.
Latency index for your inputs: 25.7% of annual wasted labor (before adding rework).
